Handles the Spaces and Venus for events, big and small, safe and unsafe
Core Responsibilities
- Book and help choose venues for events of various sizes
- That basically entails receiving a request for a lecture theatre or a classroom from a CM, then deciding with that CM on a specific room, then booking that room with the Union
- It is the responsibility of the SO to ensure that they always reply to such requests/discussions within the day, and endeavour to sort and submit bookings within 3 working days, when possible, to check all society communications, and to ensure that they are aware of any and all such requests
- However, it is not the SO's responsibility to chase up the other CM if they're being unresponsive (unless they wish to), meaning that if a CM requests a space and doesn't respond to the SO's response regarding a specific room, the SO is not at fault for any unbooked rooms
- To identify and carry out any necessary safety checks as well as to fill out and submit any Risk Assessments relating to the event
- Effectively, ensuring the venue (Space) related paperwork is all sorted for each event brought to the SO, as quickly as possible
Desired Attributes
- High-ish availability (or enough to manage the “within 3 days” requirement)
- Good communication and getting to the point, efficient communication with CMs
- Good knowledge of the various rooms available on campus
Committee Connections
All: I've only listed the EOs, since they'll usually be the ones wanting to get rooms booked for events, but theoretically any event planner would have cause to request a room from the SO
Notes
- I reckon the workload itself is quite light, it might come in bursts nearer large events that require many bookings and safety checks, but on-the-whole should be relatively simple
- If these responsibilities sound more pedantic and ‘legal’, it's because I'm currently reading through a lot of legal documents with regards to my lodgings for the coming year :}
