The Events Coordinator, the planner, the logistical powerhouse of the Academic branch
Core Responsibilities
- Making sure that Academic events are planned and are planned well
- Co-ordinating with SO to get the rooms sorted and the risks assessed
- Checking things through with the CC, to make sure that things are good, logistically
- Taking event ideas and turning them into reality, basically
- Planning out the logistics behind each event and what needs to be done, by whom, by when
- Sending the relevant tasks to the relevant CMs, to ensure an Event goes smoothly, primarily the SO and OO
- The AEO will primarily break the logistics down and handle the ‘front-end’ communications via the OO and booking the venues
- Dealing with money, companies, etc. (the ‘back-end’ logistics), that’s all the AC’s job, to find the right people for the jobs and ensure moneys is solid
- Also just double-checking the AC’s ideas to see if they’re feasible or engaging enough, second line of defence against bad ideas :p
- Occassionally also coming up with event ideas, if the workload permits it
- AC and AEO are synergetic roles, so if one starts to wane (out of necessity), the other should try to cover while necessary
Desired Attributes
- Good at generating comprehensive plans from ideas
- Comprehensive: thinking about all the things involved
- Coming up with any fallbacks and being prepared where necessary
- Caution is better than Risk
- e.g. if you want to book a larger room, just in case, because you have good reason to think that the normal room may overflow, that’s perfect
- Quick to understand event logistics
- If you’re not already experienced, as long as its picked up quickly, that’s plenty
- Good at communicating and distributing work to those that should do it
- Knowing your own limits and communicating to other CMs (primarily AC), if you likely won’t be able to make something on time
- An adequate understanding of Cybersec and what logistics may be involved in such an event, especially with workshops
Committee Connections
Outreach Officer: The OO will likely receive propositions or send propositions for events for companies, the AEO will need to know about such events
CTF Events Officer: I don’t know how much interaction there will be normally, but the type of work is quite similar? so maybe exchanging advice. Obvs will need to work together for large events
Academic Chair: Well, I mean… A lot of the logistical considerations planned out by the AEO will need to be passed up to the AC to be checked and approved by various other CMs. Also, a lot of these ideas will hopefully have been fleshed out by the AC, so there’ll be a bit of back-and-forth involved in fine-tuning the balance between the Vision and the logistics
Space Officer: Bookings spaces and things are most easily done via the SO
Notes
- Honestly, the AEO likely has a lot more work to do than the CEO, since the events organised by the AEO will tend to be slightly more complex and unique
- But when ICTF rolls around, while the AEO will likely have a bit more work than usual, they should still have less to do than the CEO
