The most formal interface between the committee, its members, and the outside world
Core Responsibilities
- Managing the society mailbox
- Amiably handling emails regarding the society (questions or queries)
- Effectively directing emails to relevant committee members
- e.g. Keep Merchant up-to-date on external progress on merch
- Frequently checking the mailbox for new emails, keeping it clean and empty
- Organise the mailbox to allow chains to be better tracked
- Keeping up with current society events, so that responses can be up-to-date
- Sending out the Newsletter (written and edited by Editor)
- Managing communications with non-sponsor infrastructure (via mailbox)
- e.g. maintaining a back and forth with firms on specifications set by Chair
Desired Attributes
- Must be independent and able to make good decisions on their own
- A Secretary that can’t properly handle task distribution will break
- Must have proficient language and formal social skills
- A Secretary must be able to politely and effectively communicate a huge variety of things to a diverse range of people and companies
Committee Connections
Chair: Both Secretary and Chair share the responsibility of managing infra; Secretary is primarily reponsible for effectively handling the communication between parties, but is also more than free to voice their own opinion on infra matters with the Chair
Academic/CTF Chair: Useful contacts for keeping abreast of society activities
Editor: Get the Newsletter from Editor and distribute it according to mailing list
Publicity Officer: The Secretary should ensure that the PO knows of events when they are fast-approaching and need to now be advertised on the faster social platforms
Notes
- Looks like more work, but since a lot of things are delegated there are only two primary focusses: Monitor Mailbox, Know of Society Activities
- Mostly consistent workload
- Will require constant monitoring of the mailbox for incoming messages, and knowing what to send to whom, as well as handling other mail themself
- Still a bit of a time and effort investment, so this will need to be someone who’s willing and able to spend that time on managing the society’s mailbox
